Job Title: HR Administrator (12 month fixed term contract)
Job Location: Tiverton
Salary: £27,050.40 based on working 36 hours per week, 52 weeks per year
Contract Type: 12 Month Fixed Term Contract
This is a fixed term contract for 12 months to help provide an additional capacity whilst we plan for and implement a new HR and Payroll system. As a growing organisation, there is the potential this role could extend beyond September 2027, or go permanent, however this cannot by guaranteed at this time.
Yes, this role is often known as an HR Administrator, but here we call ourselves People Services. That’s because people are at the heart of everything we do. We’re passionate about creating a positive experience for our Team Members from day one, giving them the support, guidance, and tools they need to thrive in their roles and make a meaningful difference to the lives of those we support.
As part of our People Services team, you'll play a vital role in delivering an exceptional onboarding journey. Behind every successful new starter is someone ensuring references have been received, right-to-work checks are complete, training is booked, and every detail has been carefully managed. Behind every confident Team Member is someone who has helped lay the foundations for their success. That someone could be you.
We're looking for someone who is highly organised, confident using Microsoft Office packages, and has a keen eye for detail. You'll enjoy working in a fast-paced environment, juggling priorities, and staying one step ahead. Most importantly, you'll genuinely care about providing outstanding support to our Team Members and ensuring they have the very best start to their journey with us.
In return, we'll give you all the tools, training, and support you need to develop and succeed within a friendly and collaborative team that truly values the contribution you make.
And there's one more thing...
We work a nine-day fortnight. That's right, every other Friday off while still being paid for the full ten days. It's just one of the ways we support a healthy work-life balance and help our Team Members bring their best selves to work.
Our office is based in Tiverton, and you will work from here 3 days a week, with the ability to work from home when not in the office.
Sound like your kind of role? We'd love to hear from you.
A day in the life of a People Services Administrator will involve:
- Onboarding – Working with our recruitment team and hiring managers to ensure offers are sent out to successful candidates. You’ll spend time requesting employee references, running DBS checks, and setting up staff files on our system.
- Mailbox management—You'll look after a few mailboxes, including our recruitment, onboarding, and training emails. We’ll make sure you know what needs to be actioned, forwarded, or simply deleted!
- Telephone work – Most of this role is email-based, but people do call with queries related to training or onboarding. Sometimes you may need to chase a reference verbally, or call a training provider to ask a few questions, as well as answering queries from candidates, suppliers or Team Members.
To be a successful People Services Administrator, you’ll need:
- Good admin experience - We need someone who can hit the ground running with systems and admin tasks. We’ll show you the specifics that relate to us, but we need you to know the basics.
- A great eye for detail. In HR, detail can really impact the service we provide. Our data is only as good as the information being put in, so we need to make sure what we do is accurate.
- Great communication skills — Verbal and written communication are important in this role, as you’ll speak to many different people at different times.
If return for your time, you’ll get:
- Holidays – You’ll get 28 days annual leave (You’ll get a Pro Rata amount for the length of your contract).
- Pension scheme– Our pension scheme is based on you paying in 5%, and us adding 3%.
- Learning & Development Opportunities – We provide comprehensive learning opportunities for team members to develop themselves.
- Discounts – You’ll have access to brilliant discounts through the Blue Light Card and our own employee benefits platform.
- Wellbeing Support – Your wellbeing is always our priority. You’ll have access to mental health and wellbeing support. On top of this, our therapies team offers a monthly confidential check in clinic, and group reflective practice sessions.
- Cycle2Work -The cycle to work scheme enables you to buy a bicycle at a discounted rate.
- DBS – As this role required you to have an enhanced DBS carried out, we will cover this cost.
- After 12 months service - You’ll also be eligible for our Medicash scheme which covers a wide range of medical, health and wellbeing expenses (Including immediate access to a GP!). You’ll get life assurance paid at x2 your annual salary.
Please note that as part of our safer recruitment processes, successful applicants will be subject to pre-employment checks including an enhanced disclosure and barring service (DBS) check, and online and social media checks, and reference validation.
At Phoenix Learning and Care, we pride ourselves on our diverse workforce, and ensuring we have an inclusive environment for all our team members. We remain committed to ensuring our teams can bring their true selves to work without risk or fear of discrimination.
